You changed the price on a job in Housecall Pro. The customer paid. QuickBooks still shows the old number. Or the same customer shows up twice, or a tax rate alert has been sitting in your settings for weeks and nobody in the office knows what it means.

These are the Housecall Pro and QuickBooks Online sync problems owners and bookkeepers report most. The integration is useful when it is set up right. When it is not, the office fixes the same records every week. One reviewer on the QuickBooks App Store said they turned syncing off entirely and kept Housecall Pro only for the techs, because the cleanup was more work than entering invoices by hand.

Most of these problems trace back to how the sync is built, so start there.

How the Housecall Pro and QuickBooks Online sync works

Housecall Pro's help center describes the integration as one-way: data moves from Housecall Pro into QuickBooks Online. What goes over is invoices, payments (Service Plan payments included), new customers, and new Price Book items.

An invoice syncs the first time you finish the job (if your trigger is set that way), send the invoice, or mark it paid. Housecall Pro says it lands in QuickBooks within 2 to 5 minutes. After that first push, the two invoices are linked.

Estimates do not sync. Printing an invoice does not push it either. Housecall Pro assumes the work happens in Housecall Pro, and almost every problem below starts when someone edits in both places.

Sync, or book from reports? Pick one

Not every bookkeeper trusts the sync. In a Reddit bookkeeping thread, one said they would rather book revenue from Housecall Pro's reports, and another said the sync takes more upkeep than entering it once, at least for a client who doesn't need job costing. Others in the same discussion preferred the sync for the invoice detail.

Either method can work. Running both at once can't. If invoices are syncing and someone also books revenue from a Housecall Pro report, the same sales land on your P&L twice. Pick one and write it down.

Problem: you edited the invoice, but QuickBooks didn't change

Check this first. Per Housecall Pro, once an invoice has synced, later changes to line items, quantities, prices, or descriptions do not update the QuickBooks invoice on their own.

The fix is a manual push. On the job, scroll to the QuickBooks Online section, open the three-dot menu, and choose "Push invoice to QBO." Payments still post to the linked invoice automatically. Line edits need that push.

Deletions work the same way. Cancel or delete an invoice in Housecall Pro and you still have to delete or void it in QuickBooks yourself.

Problem: duplicate customers and "name" alerts

QuickBooks Online requires every customer, vendor, and employee to have a unique name. That rule drives most name alerts:

Duplicates also start inside Housecall Pro. One Trustpilot reviewer wrote that weak client search leads to "duplicate customer entries constantly being created," and that QuickBooks "doesn't magically clean up the duplicate mess."

Housecall Pro has a Manage duplicates tool under Customers, then Actions. Use it carefully. Their help article says you cannot unmerge customers. Two homeowners who happen to share a name are still two customers.

Problem: old invoices, duplicate invoices, and number conflicts

A reviewer on the QuickBooks App Store described Housecall Pro sending over invoices from before the two systems were connected, then clearing out duplicates again and again. A Trustpilot reviewer reported duplicate invoice numbers between the two systems that kept coming back.

When numbers collide, Housecall Pro shows an "Invoice Number Already Taken" alert. Choose "Sync again" and regenerate the number using either the Housecall Pro sequence or the QuickBooks sequence.

For the long run, pick one system for invoicing. If Housecall Pro creates the invoices, nobody creates invoices in QuickBooks for those jobs.

Problem: Service Plan visits and zero-dollar invoices

Housecall Pro says Service Plan payments sync. The visits are murkier. A Housecall Pro user on Reddit described plan visits closing out with a zero-dollar invoice, and another user in that thread wasn't sure the plan would reach QuickBooks at all.

Don't guess. If you sell maintenance plans ahead of an Austin summer, finish one plan visit and look at what landed in QuickBooks. A workaround shared in that thread is a zero-price line item named after the plan on every visit, so each one is easy to trace.

Problem: sales tax alerts and totals that don't match

"Tax Rate Unavailable" means the tax rate on the job doesn't exist in QuickBooks with the exact same name, down to capitalization, punctuation, and trailing spaces. Housecall Pro also says compound tax rates aren't supported.

QuickBooks Automated Sales Tax can override the rate from Housecall Pro. If the invoice was already paid, you'll see a leftover balance (QuickBooks rate higher) or a customer credit (QuickBooks rate lower). For an unpaid invoice, Housecall Pro suggests changing the rate on the job. For a paid one, you can override the tax amount on the invoice in QuickBooks.

If you use Housecall Pro's own Automated Sales Tax feature, their help center says QuickBooks Automated Sales Tax has to stay on. Turning it off can cause sync errors, duplicate tax rates, and payments showing as overpayments. Which rate belongs on a job is a question for your CPA.

Problem: everything lands in "Sales"

If a tech adds a line item that was never set up in the Price Book, Housecall Pro says it goes to QuickBooks under a generic Sales category. As of this writing, Housecall Pro also doesn't separate labor and materials when it syncs Price Book items.

Your P&L then shows one big income line. Build out the Price Book, assign an income account to each service and material, and ask techs to pick from the list. Income account changes only apply going forward. For job-level numbers, our post on job costing in QuickBooks Online covers the QuickBooks side. Problem: alerts that won't go away

A few more alerts show up often, per Housecall Pro's help center:

One warning. Dismissing an alert can't be undone, and Housecall Pro says editing the job later brings the error back. Fix the cause, then reprocess.

Weekly sync checklist

When it's more than a weekly cleanup

If alerts keep coming back, or your QuickBooks file has months of duplicates and mismatched invoices, a checklist won't fix it. The file needs a cleanup, and the settings need to be right going forward.
